We collect only the information necessary to coordinate transportation services, assist with medical appointments, provide mobility assistance, maintain scheduling records, and improve customer service. Access to client information is restricted to authorized personnel and is protected through administrative, physical, and technical safeguards.

 

All client information remains confidential in accordance with HIPAA and company privacy standards. Employees and contractors may not share client information with unauthorized individuals, discuss client medical conditions publicly, or leave confidential documents unsecured.

 

Our drivers and staff are trained to maintain professionalism, protect client privacy, follow confidentiality procedures, and handle sensitive information responsibly. We are dedicated to earning and maintaining your trust through every transportation experience.

1. INFORMATION WE COLLECT

We may collect personal information necessary to provide safe and reliable transportation services, including client names, contact information, transportation details, medical appointment information, mobility assistance requests, pickup and drop-off locations, and scheduling information. Information is collected only as necessary to provide transportation services and improve customer care.

2. HOW INFORMATION IS USED

Information collected may be used to schedule transportation services, coordinate pickups and drop-offs, manage recurring transportation schedules, provide customer support, communicate service updates, maintain company records, and improve transportation operations. Information is used solely for legitimate business and transportation-related purposes.

3. HIPAA & CONFIDENTIALITY POLICY

All client information shall remain confidential in accordance with HIPAA and company privacy standards. Employees, contractors, and authorized personnel may not share client information with unauthorized individuals, discuss client medical conditions publicly, or leave confidential documents unsecured. Violations of confidentiality policies may result in disciplinary action, suspension, or termination.

4. DRIVER CONFIDENTIALITY STANDARDS

All drivers and staff are expected to maintain professionalism, protect client privacy, follow company confidentiality policies, and handle sensitive information securely at all times. Drivers are prohibited from discussing client information with unauthorized individuals or using client information for any purpose other than providing transportation services.

5. VEHICLE SAFETY & MAINTENANCE

All company vehicles are regularly inspected and maintained to ensure passenger safety and reliability. Vehicles are cleaned and sanitized daily, equipped with functioning safety equipment, and maintained in compliance with all applicable state and local requirements. Drivers are responsible for conducting daily vehicle inspections and reporting maintenance concerns immediately.

6. CLIENT SAFETY POLICY

Clients are required to wear seatbelts during transport, follow driver instructions, provide accurate pickup and drop-off information, and notify the company of any mobility assistance needs. Drivers may assist clients entering and exiting vehicles when appropriate while maintaining safety protocols and professional standards.

7. SCHEDULING & DISPATCH PROCEDURES

Transportation services should be scheduled in advance whenever possible. Dispatch personnel will confirm pickup times and locations, coordinate trip details, and maintain recurring transportation schedules. Drivers must promptly notify dispatch of delays, schedule changes, or service interruptions.

8. CANCELLATION & NO-SHOW POLICY

Clients are encouraged to provide at least twenty-four (24) hours’ notice for cancellations whenever possible. Excessive cancellations or no-shows may result in service restrictions or suspension. Drivers are required to document all cancellations and no-show incidents.

9. DATA SECURITY

Noir NEMT LLC takes reasonable administrative, technical, and physical measures to safeguard personal information and maintain confidentiality standards. Security measures include secure data storage, restricted access to information, ongoing staff training, and periodic reviews of privacy and security practices.

10. ACCIDENT & INCIDENT PROCEDURES

In the event of an accident or incident, the safety of all passengers is the highest priority. Emergency services will be contacted when necessary, company management will be notified immediately, and all incidents will be documented thoroughly. Drivers are required to complete an incident report and follow all company reporting procedures.

 

11. DRUG & ALCOHOL POLICY

Employees may not operate company vehicles while under the influence of drugs or alcohol, report to work impaired, or possess illegal substances while on duty. Violations of this policy may result in immediate disciplinary action up to and including termination.

12. CUSTOMER SERVICE STANDARDS

All employees are expected to treat clients with dignity, respect, and professionalism. Staff shall maintain courteous communication, provide quality customer service, arrive on time whenever possible, and offer assistance as needed. Discrimination, harassment, or inappropriate conduct will not be tolerated.

13. BILLING & PAYMENT POLICY

Private-pay clients are responsible for payment at the time of service unless alternative arrangements have been approved. Contracted facilities and recurring accounts shall follow agreed-upon billing terms. Outstanding balances may result in suspension of services until payment arrangements are resolved.

14. INFORMATION RETENTION

Client information is retained only for as long as necessary to provide transportation services, maintain business records, comply with applicable laws and regulations, and fulfill legitimate operational requirements. Information is securely disposed of when no longer needed.

15. EMPLOYEE CONDUCT

Employees are expected to maintain professionalism at all times, wear appropriate attire, follow company policies and procedures, and treat clients, coworkers, healthcare facilities, and community partners with respect. Failure to comply with company standards may result in disciplinary action.

16. POLICY ACKNOWLEDGEMENT

All employees and contractors shall acknowledge receipt, understanding, and compliance with company policies and procedures before performing job duties. Continued employment constitutes agreement to follow all applicable company policies and standards.
